Academic Policy

This manual is a compilation of general academic policy and guidelines for undergraduate midwifery program that serves as a quick reference for administrators, staff, and students to familiarise themselves with the rules, procedures and policies of the college.

Student Admission and Registration

Admission to Program

Enrollment for Direct Entry to The Bachelor of Science in Midwifery is subject to the fulfillment of the following requirements:

  • Be a legal resident of the Federal Democratic Republic of Ethiopia
  • Have a background in the natural sciences
  • Have successfully completed study from preparatory school and achieved the necessary matriculation points
  • Pass LeDeG midwifery college entrance exam
  • Demonstrate interest in becoming a midwife
  • Fully sponsored students should be willing to serve their communities for at least 2 years
  • All applicants must submit necessary documents to the office of registrar
Registration
  • Every student should register at the beginning of each semester in person
  • The office of the registrar will conduct registration on pre-arranged dates
  • There is a 1 day late/penalty registration period after regular registration
  • Students who fail to register within the set dates are subject to disqualification for at least one year

Academic Calendar

The academic calendar of the college is one year, 12 months, and extends from beginning of Meskerem to end of Nehase including final exam and semester breaks. The college prepares academic calendar that considers duration for modular courses which shall be determined according to the respective Harmonized curriculum.

Credit Requirement and Semester Loads

  • A minimum and maximum credits for full time undergraduate students shall be 15 & 19 credit hours respectively
  • The Minimum-Maximum total load during study duration for all four years shall be as per the program curriculum
  • The proportion of time allotted for a particular course/module shall be determined by the department

Duration of the Study

The duration of study for BSc midwifery regular program shall be four years.

Teaching-Learning, Assessment and Grading

Teaching-Learning

  • Students shall attend 85% of the instructional time
  • Instructors shall attend each allotted class, and organize make up classes when necessary
  • The proportion of time for lectures, laboratory works, tutorials, etc. shall be determined for each course
  • Teaching and learning practices must promote imaginative, independent and active learning
  • For any course, instructors must prepare a course guide to be handed to students on the first day of class

Assessment and Evaluation

Assessment shall be seen as a process of supporting students' learning rather than just a means to decide academic status and graduation of students.

Key Assessment Principles
  • Assessment for a given course shall be made out of hundred by adding marks from assignments, lab, lecture, and clinical practice components
  • Tutorial sessions shall be used as capacitating sessions to clarify vague concepts
  • Continuous and final assessments in various forms shall be given for any module
  • For courses with both lecture and lab/clinical components, there shall be at least one assessment for the practical component
  • Final exams shall be prepared by instructors and evaluated by the exam and assessment committee
  • Instructors shall provide timely feedback to all students' work
  • Exam dates shall be decided by the academic calendar
  • Students must complete each of the tasks set for the course

Grading System and Status Description

Unless otherwise endorsed by the AC, any grading in the college shall be fixed scales.

Grading Scale for BSc Program

Status Descriptions
Excellent refers to outstanding performance and only a few minor errors
Very good refers to above the average standard, but with some errors
Good refers to good, solid overall performance, but with some noticeable errors
Satisfactory refers to an acceptable performance, but with quite obvious shortcomings
Unsatisfactory refers to an unacceptable performance that falls a little short of the minimum requirements
Fail (F) refers to an unacceptable performance which requires considerable future work

Add, Drop, and Repeat Modules

Taking into account the semester load of the student, and other relevant procedures, students can add and drop courses indicated on their original class registration schedule as per the college academic calendar each semester.

  • All add and drop forms must be submitted to the registrar office on time
  • The minimum and maximum semester load shall not be compromised by dropping and adding of courses respectively
  • A student who scores F and or failed to score pass mark after reexam shall repeats the module
  • Grades obtained on repeated modules shall stand as they are
  • Final grade for repeated courses or a course in which re-exam has been taken shall be recorded and used for computation of CGPA
  • Student should not repeat or take re-exam a single course more than three times
  • A Student who fails in his final year thesis/project shall be allowed to register for a new project/thesis to be completed during the subsequent semester

Status Determination and Requirements for Promotion

  • Status for regular students shall be determined at end of every academic semester/year
Promotion Requirements for BSc Program
  • Promotion will be conducted every academic year except first year
  • The pass mark for core modules will be at least a C grade
  • The pass mark for the supportive module will be at least a D grade
  • If the student scores D in core Module, he/she shall be allowed to take re-exam
  • If a student fails (F) in any module, the student will be required to repeat the failed modules or attachments
  • Any student who fails to score at least a C grade in core modules / clinical attachment, after a re-exam exam, she/he shall repeat the module
  • If a student fails again after the repeat and re-exam, the student will be Academic dismissal and repeat the module next year
  • A student who fails to pass the core module three times shall be dismissed for good
  • Any student who failed in the pre-internship qualifying examination must repeat a similar content exam

Student Transfer from Other Institutions

Students may apply for transfer from other higher learning institutions to the office of the registrar at least before one week of the start of the semester.

Transfer Application Process
  1. The registrar, in consultation with department head, shall screen applications and present to the Academic commission for approval.
  2. Applications for transfer shall be considered exceptionally and on the basis of availability of space, facilities.
  3. The applicant student must have obtained grades that would normally be required of students for enrolment in the programs concerned.
  4. A student applying for admission on transfer basis to the college shall be one who has been enrolled in accredited higher institution in Ethiopia.
  5. A student who has been dismissed for good from any public or private higher institution shall not be considered for a transfer to the program.
  6. A student applying for transfer should have attended at least one semester in his previous institution at the time of request of transfer.
  7. The student must be in a good academic standing (CGPA of 2.00 and no "F", "NG", "I" or "DO" grade(s)).
  8. The applicant has to present a letter of clearance and withdrawal from his previous institution after his transfer is accepted or endorsed.
  9. Any transfer approval is deemed to be final only if the applicant has produced official record from the previous institution where the student has been enrolled.
  10. A student wishing to transfer will be required to fill in a Transfer Application Form which shall be available at the LeDeG Registrar.
  11. Upon acceptance, the registrar in consultation with the academic dean shall determine the transferable credits and work out the details of transfer of credits and other technical matters.
  12. Students shall be responsible for all the consequences that such transfers may entail.

Graduation Requirements

A student enrolled in the BSc midwifery program is eligible for graduation if and only if she meets all of the following requirements:

Course Completion

Has taken all the required courses for the program and obtained a minimum CGPA of 2.0

Comprehensive Exam

Pass comprehensive exam of the college, both in theory and practice before graduation with passing score

Grade Requirements

Has scored at least grade "C" in any practicum and core module and has not scored "F" grade in any course

Research Project

Has carried out a student research project and scored a minimum of "C" grade in thesis report

Clinical Procedures

Undertake the clinical procedures listed in midwifery BSc curriculum

Dress Code

The College requires all students to wear uniforms and apply badge within its premises and during fieldwork. This is mainly to:

  • Avoid partiality among students' clothing
  • Symbolize being medical professionals
  • Ease in clinical practice
Dress Code Guidelines
  • The uniform expense will be covered by the respective students, except sponsored students
  • The uniform should be clean and worn correctly in accordance with dress code policies
  • Footwear and clothing should be appropriate
  • Midwifery students are preparing for professional careers and should wear appropriate attire
  • Dress in a manner that helps clients to feel at ease
  • Support efforts to reduce the spread of pathogenic organisms
  • Makeup should be tasteful and simple
  • Students are to use appropriate hygiene, protective gear and clothing during practical and clinical activities

Student Code of Ethics

The College strives to cultivate a culture of integrity, honest and ethical awareness among the staff, faculty and student body. Our intention is to create a community that models the high ethical standards we believe essential for the care giving profession of midwifery.

Our Ethical Commitment

LeDeG education is much more than passing tests and assignments; it is about becoming an excellent, committed ethical and compassionate midwife in the holistic sense.

Honor Code: You will be asked to sign a written Honor Code document upon your arrival for the first time.
Ethical Responsibility: We present this Academic Honor code for each student to sign to bring an awareness of the ethical responsibilities of each person at the school.
Community Pledge: It is a way for us to pledge together to conduct ourselves in a way that respects each member of this community, the intention of the program, and the profession of midwifery.
Academic Integrity: This includes a commitment to not cheat, plagiarize, fabricate or commit any other form of academic misconduct while enrolled in the LeDeG program.
Expectations and Consequences

All students are expected to behave responsibly always, to observe and abide by the Regulations of the College and not to engage in any activity, which might bring the good name of the College into disrepute. Any violation of the code will be reported to the college ethical committee for corrective measures as per the regulations of the college.
